Office 365 Web Portal 

Email Conversion Overview

We alerted the campus community a few weeks ago that we would be making changes to our email system to address the problems of outgrowing our campus email server. The transition will result in all campus email being hosted by Microsoft using their cloud-based solution called “Office 365.” We will begin implementing these changes Thursday, July 19, 2012.


Things you need to know:

  • We will migrate offices or small groups of people over a series of several days. You will be alerted the morning of your scheduled migration so that you know when your move will happen.
  • Migrations will begin at 8p.m. in the evening and will likely take a few hours to complete.
  • During the migration period, your email client (Outlook, Mac Mail, etc.) will not sync with the email server. You will still see old email, but you will not be able to retrieve new messages unless you use the Office 365 web-based client. We will provide links to this service on our Help Desk website and my.greenville.edu. If you utilize the web-based client, you will experience no downtime in email functionality.
  • Once migration is complete, Outlook should prompt you with a notification that the server settings have been updated and ask if you want to allow the update. Once you select “allow”, no further action on your part should be required. If you use Mac Mail, or receive email on a smartphone or other device such as an iPad, you will have to update your account settings. We will provide instructions for making these changes on my.greenville.edu and our Help Desk website.
  • We cannot guarantee that messages in your “deleted items” or “trash” will be migrated. If you believe you may have important messages that you have inadvertently deleted, you will need to move those items to your inbox, or another folder.
  • During this migration period, we will have employees operating on two systems—some on our campus Exchange email server, and some that have been moved to the Office 365 system. The Scheduling Assistant feature in Outlook that shows free/busy time for invitees will not function correctly until all employees have been moved to Office 365.
  • While it is true our IT staff has tested this new system over the last three months with very positive results, we know a change of this magnitude will present some problems that have not been encountered in the testing phase. Our staff will do everything we can to both minimize those problems and resolve any issues that do arise as quickly as we can.

Email Migration to Office 365

During Migration:

  • Email will not work with email clients like Outlook or Mac Mail, on smartphones, or tablet devices like iPads while your mailbox is being migrated
  • You can use Microsoft's web portal to view, receive, and send email during the time your mailbox is being migrated to Office 365

  • Go to portal.microsoftonline.com 
  • Enter your email address in the "User ID" and when you click in the "password" you will see "Sign in at Greenville.edu"  
  • Click on the "Sign in at Greenville.edu" link and you will be prompted to enter your network username and password (ex: jdoe NOT This e-mail address is being protected from spam bots, you need JavaScript enabled to view it
    • If login prompt blinks and continues to ask for your login information, verify you are typing in your username and password correctly. Additionally, if your web browser is not up-to-date, you may be continually prompted for your login until it eventually produces a 401 error. To learn how to update your web browser (Firefox, Internet Explorer, Chrome, Safari, etc.), select "Help" from the browser's menu and search for "updates."
  • You will now be logged in to your new Office 365 email account.  Click on "Outlook" at the top of the page, or the "inbox" link to access your mailbox.

Setting Up Email Clients After Migration:

We recommend using the Outlook email client, both on Mac OS and Windows.

Outlook:

  • Once migration is complete, a message should appear within Outlook stating that settings have been updated for your mailbox and ask if you want to allow the changes.  Select "allow". 
  • Outlook will take a couple minutes to update and then you should see new messages in your inbox.
